Role Overview:
The Project Administrator will provide administrative and coordination support to the Project Manager and delivery teams within a telecommunications environment. The role will ensure that project documentation, meetings, reporting, schedules, risks, issues and actions are accurately maintained and communicated.
Requirements:
- Diploma or degree in Project Management, Business Administration, Information Technology or a related field.
- A minimum of 3–4 years’ experience in project administration or project coordination.
- Previous experience working within the telecommunications, ICT, mobile, fibre or technology sector is essential.
- Experience supporting complex projects involving multiple teams, vendors and stakeholders.
- Strong proficiency in Microsoft Excel, PowerPoint, Word, Outlook and Teams.
- Experience using project tools such as Jira, Confluence, SharePoint or MS Project.
- Understanding of project governance, risk management, change control and delivery reporting.
- Experience working in Agile, Waterfall or hybrid delivery environments.
Key Responsibilities:
- Provide day-to-day administrative support to the Project Manager and project team.
- Schedule project meetings, prepare agendas and coordinate attendance.
- Record and distribute minutes, decisions and action items.
- Maintain project plans, trackers, schedules and milestone updates.
- Monitor outstanding actions and follow up with responsible stakeholders.
- Maintain risk, issue, dependency, decision and change-control registers.
- Compile weekly and monthly project status reports.
- Coordinate documentation required for governance forums and SteerCo meetings.
- Maintain an organised project repository and ensure version control.
- Support resource planning, timesheet tracking and financial administration.
- Assist with purchase orders, invoices, project expenditure and budget tracking where required.
- Coordinate activities across business, technical, vendor and telecommunications teams.
- Support testing, deployment and implementation readiness activities.
- Assist with tracking defects, change requests and project deliverables.
- Escalate overdue actions, risks and delivery concerns to the Project Manager.
- Ensure compliance with project governance standards and reporting requirements.
